Administrating users in Absalon

Adding people 

 

You can add teachers under People on Absalon. Click +People in the top right-hand corner. Add their normal Email address, like xyz@science.ku.dk, to the box. You can seperate multiple e-mails by comma or line shift. If you don't have the e-mail, you can search the Phone Book. If you have a KU-mail address like xyz123@ku.dk, you must search by Login ID. Assign the ‘Teacher’ role to the teacher* and click Next to search for the teacher. If you find the right person(s), click Add users.

*You can decide a different role for the teacher, if fx the teacher should only view an old course, you can select the role ‘Observer’.

NOTE! If the +People button is greyed out, you cannot add a teacher to your course because Absalon has deactivated the course via Terms.  Read more about how Terms work, what the advantages are and how to reopen a deactivated course room.

 

In Absalon, a user may have multiple email addresses associated with their account. If the teacher you want to add has an e-mail like xyz123@ku.dk, you should chose Login ID and not E-mail Address. Sometimes you need to replace xyz123@ku.dk with xyz123@alumni.ku.dk, if it is a former student.

You can ask them to check their default email address. This can be done by going to Account > Profile, clicking on the three dots in the top right corner, selecting Account details, and then check the default email.

If the email address is not the expected, the teacher can create a ticket on the Service Portal by logging in to https://serviceportal.ku.dk/, clicking "Create ticket," selecting IT systems, then Absalon, and finally, Support.

 

To add a student to an old course room, you must go to the course room in question and open Settings > Course details > Term: Then change Participation to ‘Course’, apply an end date somewhere in the near future, then click Save. Add the student under People, +people.

Important! Remember to reset to the original Term.

Dividing students into sections

 

All students are assigned to one team named "Hold01" in most courses. In Absalon, these teams are referred to as "sections." For larger courses, the students may be pre-divided into multiple teams such as Hold01, Hold02, Hold03, etc. The students can select their team in the student information system, STADS. Additionally, teams can be formed at the beginning of the course and submitted to the teaching team at the study administration (undervisning@science.ku.dk).

The sections can be seen under People. You can create more sections than the ones given by STADS. If you would like to manually divide students into sections, you can read more here.

Dividing students into groups

 

There are four options for dividing students into study groups on Absalon:

  1. Use My Study Group on Absalon. You can read this guide: How to use My Study Group.
  2. The students can also be divided into groups via Self sign-up. As a teacher, you must create a Group Set and create the groups in the Group Set, before the students can register themselves. Create the groups under People by clicking + Group set and then select Allow self sign-up. You can read more in this guide: How do I create self sign-up groups in a group set?
